This policy explains how AIX Group, LLC, doing business as Patient Concierge ("we," "us"), collects and uses information through this website, patientconcierge.ai (the "Site"). The Site is for businesses, such as clinics and their staff, who want to learn about or buy Patient Concierge.
This policy covers the Site only. Information that our customers and their patients put into the Patient Concierge service is governed by our Terms of Service and the Business Associate Agreement we sign with each customer, not by this policy.
Please don't send us patient information
The Site is not designed to receive protected health information. Please don't include patient names, health details or other patient information in our forms, chat or emails. If you do, we will delete it when we find it.
What we collect
Information you give us
- Demo and contact forms: your name, practice name, role, work email, phone number, number of locations, any message you write, and whether you agreed to receive text messages.
- Chat: what you type into the Site's chat, and any contact details you share there.
- Email and calls: what you send us or tell us when you contact us or book a call.
Information collected automatically
- How you found us: the page you submitted a form from, the website that referred you, and campaign tags in the link you followed (such as UTM tags). These are stored in your browser for the current visit only and sent to us if you submit a form.
- Technical data: standard information your browser sends, such as IP address, browser type and device type, used by our hosting and security providers to deliver the Site and protect it from abuse.
- Bot protection: our forms use a bot-protection service that checks whether a submission comes from a person. It may process technical signals from your browser for that purpose only.
The Site itself doesn't set advertising cookies. The chat widget may use cookies or similar browser storage so your conversation can continue as you move between pages. [If you later add analytics or advertising pixels, update this section.]
How we use it
- To respond to you, schedule and run demos, and talk with you about Patient Concierge.
- To send you information you asked for, and occasional emails about Patient Concierge. You can unsubscribe from marketing emails at any time.
- To send text messages about your demo, only if you checked the box agreeing to them. Reply STOP to opt out at any time.
- To understand which pages and campaigns bring people to us, so we can improve the Site.
- To keep the Site secure and prevent spam and abuse.
- To meet legal obligations and enforce our terms.
How we share it
We don't sell your information, and we don't share it with other companies for their own marketing.
Text messaging: we do not share mobile phone numbers or text-messaging consent with third parties or affiliates for their marketing purposes.
We share information only with:
- Service providers who help us run the Site and our business, such as hosting, security, bot protection, email, chat, calendar and customer-relationship tools, under contracts that limit their use of your information to serving us.
- Professional advisers, such as lawyers and accountants, where needed.
- Authorities, when required by law or to protect our rights, our users or the public.
- A buyer or successor, if our business is sold or reorganized, subject to this policy.
How long we keep it
We keep business contact details for as long as we have a business relationship or a reasonable interest in following up, and then delete or anonymize them, unless the law requires us to keep them longer. You can ask us to delete your details at any time.
Your choices
- Access, correction and deletion: email us to see, correct or delete the information we hold about you.
- Marketing emails: use the unsubscribe link in any email, or email us.
- Text messages: reply STOP to any text, or email us.
Depending on where you live, you may have additional rights under local privacy laws. We'll honor requests as those laws require.
Security
We use reasonable technical and organizational safeguards, including encrypted connections (HTTPS) across the Site. No system is perfectly secure, so please don't send sensitive information through the Site.
Children
The Site is for businesses and is not directed to anyone under 18. We don't knowingly collect information from children.
Changes to this policy
We may update this policy. We'll post the new version here with a new "last updated" date, and if the changes are significant we'll make that clear on the Site.
